Terms & Conditions

 This agreement is made between Eastern Sun Tours & Safaris – P.O. Box 14236, Arusha, Tanzania (hereinafter referred to as “The Company” or “we”) and the named company below:

(hereinafter referred to as the “client” or “you”). Any selected programs or trips operated by Eastern Sun Tours & Safaris are subject to the following agreement, which must be signed or agreed upon in writing by both parties. Bookings cannot be accepted without this agreement.

To Make a Booking

To make a booking, we require written confirmation (by email or fax) from you stating that you wish to book and agree to comply with our booking conditions, including your chosen itinerary.

• All prices quoted are in US dollars (US$) and are valid only for the quoted tour.
• Final names and any special dietary requirements should be advised when sending the deposit.

Deposit

We require a deposit of 30% of the total tour cost to secure your accommodation and flights, to be paid by bank transfer.

Please Note:

For all tours during high season (July, August, September, December, and January) and lodge-based safari trips year-round, we require a deposit upon receiving your booking confirmation. This ensures we can secure your chosen lodge accommodation and park fee permits well in advance during peak demand times.

Deposit by Bank Transfer

You can make a bank transfer between banks; however, there may be hidden charges involved. Please ensure that you agree to pay all costs when sending the transfer.

Important:

When sending the transfer, please make sure that your full name is included in the documentation (e.g., the ‘comments’ section of the forms) so we can trace the transfer at a later date.

Final Balance

Payment can be made upon arrival in Tanzania and must be paid in full before the commencement of the safari—no exceptions. Banks here accept cash in US dollars (US$), Euros (€), and British Pounds Sterling (£) only.

Cancellations by You

If you need to cancel your booking, please notify us in writing as soon as possible. Cancellation fees will be applied based on the following schedule:

• More than 60 days prior to departure: 10% of the total tour cost
• 31 to 60 days prior to departure: 25% of the total tour cost
• 15 to 30 days prior to departure: 50% of the total tour cost
• 0 to 14 days prior to departure: 100% of the total tour cost

We highly recommend purchasing comprehensive travel insurance that includes trip cancellation coverage.

The respective laws of the country in which the tour takes place govern the company’s liability to its agents and clients. All claims are subject to the jurisdiction of the country where the cause of action arises.
